Procedure for Development & Progress (PDP)

1.          The following is a generalisation but never the less has been the normal working practice between AW4u and their clients. Unless there is some other agreement the following takes precedence.

2.          The principal method of communication is via email and land line phone. In some instances items will be posted or faxed. Although a personal visit may be necessary during the earliest contact, it is deemed unnecessary there after, but this is flexible if essential

3.          All data to be used within the website must be transmitted or otherwise supplied in a digital format. Data that is supplied in a non digital format and requires converting into a digital format may incurred extra charges

4.          After initial communication between AW4u and the client, and having formed an understanding of the clients requirements, and the client has shown a definite interest in having a website designed by AW4u the client will be asked for a Website Design Brief (WDB).  The WDB can be the one on this website or a variation of of another.  A WSB is to be delivered in an organised order, such as:

a. Definition

b. Architecture

c. Design

d. Implementation

e. Server side requirements

f. Website management

5.          The client is issued with an estimate for the total service and an invoice which usually only covers the cost of domain name registration and purchase of web space with a website hosting company.

6.          After an agreed period of time after issuing the invoice outlined in 5 above a further invoice will be issued for about 50% of the estimate outlined in 4 above, or a rewritten estimate that incorporates any changes that may have occurred in the mean time.

7.          During the 1st communication and an agreed period of time after issuing the invoice outlined in 6 above, and there is an understanding and agreement that the website has developed mutually acceptably, an agreement will be made where it can be said ‘it is finished’, (although the nature of a website can never really be said to be totally finished). With that agreement a final invoice, with any amendments to cover any changes since the last estimate, will be issued.

8.          Further invoices will be issued to cover work on the website that falls outside the limitations of the ‘maintenance agreement’.

9.          The ‘maintenance agreement’ last for one year from the date of registering the domain name and purchasing the web space.

10.        Maintenance of a website is broken down in  to an ‘instance’.  Each instance is work that can be changing of pictures and text and other minor alterations to site design which sensibly can be carried out within ½ an hour.  An instance is charged as a one-off, or a number for a year.

11.        Maintenance can be designed to cater for any number of changes of any component of the website by mutual agreement
